1. Business Entity & Scope
Seewithpahadis (operated by Base Camp Ukhimath) is a registered tour & travel enterprise based in Ukhimath, Rudraprayag, Uttarakhand. We specialize in Himalayan trekking, pilgrimage support (Kedarnath, Tungnath, Madhyamaheshwar), cultural village tours, and adventure expeditions across Garhwal Himalayas. These Terms & Conditions ("Agreement") govern all bookings, reservations, and adventure activities arranged by Seewithpahadis. By making a booking, you ("Client", "Trekker", "Guest") acknowledge that you have read, understood, and agree to be bound by these terms.
Our services include guided treks, transportation, accommodation, forest permits, equipment rental, and itinerary planning. All services are subject to availability, weather conditions, and government regulations in Uttarakhand.
2. Booking & Payment Terms
- Advance Booking: A non-refundable deposit of 30% to 50% (depending on trek duration) is required to confirm any trek or tour package. Full payment must be settled at least 7 days before departure for domestic clients and 15 days for international guests, unless otherwise agreed in writing.
- Confirmation: Your booking is confirmed only after receipt of the deposit and issuance of a booking voucher via email or WhatsApp (+91 7017554848).
- Mode of Payment: Bank transfer, UPI, credit/debit cards (via secure gateway), or cash at our Ukhimath base office. Any transaction fees are borne by the client.
- Permits & Fees: Trekking permits, forest entry, camping fees, and GST (as applicable) are included in the package unless stated otherwise. Additional costs due to government levy changes will be billed separately.
Prices quoted are in Indian Rupees (INR) and are subject to revision due to unforeseen circumstances like fuel hikes, new government taxes, or sudden permit cost changes. We will notify you before final balance payment.
3. Cancellation & Refund Policy
We understand that plans change, but Himalayas require early logistics. Cancellations must be communicated in writing (email to seewithphadis@gmail.com or via official WhatsApp). The following cancellation charges apply:
- Cancellation 30+ days before departure: 80% refund (after deducting 20% admin & permit processing fee).
- Cancellation 15–29 days before departure: 50% refund of total package cost.
- Cancellation 7–14 days before departure: 25% refund.
- Cancellation less than 7 days or no-show: No refund.
- Partial trek/tour withdrawal: No refund for unused services (accommodation, meals, transport) once the journey has commenced.
We strongly recommend purchasing comprehensive travel insurance covering trekking, helicopter evacuation, and trip interruption.
4. Medical Fitness & High Altitude Declaration
Trekking in the Himalayas (altitudes ranging from 2,000m to 5,000m+) involves physical exertion, remote conditions, and potential altitude-related risks. By booking with Seewithpahadis, you confirm that:
- You are in good physical health, free from medical conditions that could be aggravated by high-altitude trekking (heart ailments, severe asthma, epilepsy, recent surgeries, etc.).
- You disclose all pre-existing medical conditions, allergies, and medications on the mandatory health declaration form.
- You carry personal first-aid supplies and any prescribed medication. Our guides carry basic medical kits but are not substitute for professional medical advice.
- In case of any emergency, evacuation will be arranged at the client’s own expense (covered by travel insurance ideally).
Seewithpahadis reserves the right to deny participation to any trekker deemed physically unfit or whose condition poses risk to themselves or the group, with no refund entitlement.
5. Assumption of Risk & Limitation of Liability
Adventure tourism, by nature, involves inherent risks including but not limited to: high altitude sickness, unpredictable weather, landslides, wildlife encounters, remote communication gaps, and terrain hazards. By participating, you acknowledge that these risks exist and accept them voluntarily.
Liability: Seewithpahadis, its guides, employees, and associates shall not be held liable for any injury, loss, damage, delay, or expense arising from events beyond our direct control, including acts of God, governmental restrictions, strikes, theft, or accidents. We exercise utmost care in organizing treks but do not assume liability for personal injuries or property loss caused by client negligence or third-party services (transporters, lodges, etc.). Our maximum liability is limited to the total amount paid for the specific tour.
6. Itinerary Changes & Mountain Flexibility
The Himalayas are dynamic. Our expert guides and operations team may alter the itinerary due to safety concerns, weather updates, trail conditions, or any unforeseen circumstances. Alternative arrangements (similar or equivalent) will be provided whenever possible. Any additional costs due to extended stays, evacuation, or alternative transport shall be borne by the client, but we will assist with local arrangements at best prices.
We reserve the right to cancel a trek if minimum group size (usually 4 participants) is not met. In such cases, a full refund or alternative date/tour will be offered.
7. Pahadi Code of Conduct
- Respect local traditions: Ukhimath, Kedarnath, and Garhwal villages are deeply spiritual. Dress modestly, seek permission before photography, and avoid disrespecting local customs.
- Leave no trace: Carry back non-biodegradable waste, stick to designated trails, and follow “green trek” norms. Any littering or damage to forest property may lead to termination of services without refund.
- Alcohol & drugs: Consumption of alcohol or narcotics during trekking days is strictly prohibited; violation may result in immediate expulsion from the group.
- Group harmony: Our guides are responsible for group safety. Aggressive, disruptive, or non-compliant behavior can lead to cancellation of services.
By booking, you agree to act responsibly and maintain the pristine mountain spirit.
8. Permits & Travel Documents
For high-altitude treks (like Kedarkantha, Har Ki Dun, etc.), forest permits and camping permissions are arranged by us. Clients must carry a government-issued photo ID (Aadhaar, Passport, Voter ID) and 2 passport-sized photos for permits. Foreign nationals must carry valid Indian visa and passport. Any delays due to incomplete documentation are solely the client’s responsibility.
Travel Insurance: It is mandatory for all treks above 3,500m to have personal travel insurance covering emergency evacuation, helicopter rescue, and medical expenses. Please provide proof if requested.
9. Photography & Media
Seewithpahadis may capture photos/videos during treks for promotional purposes. Unless you specifically object in writing, you grant us permission to use such media on our website, social media, and marketing materials. If you prefer not to be photographed, inform the trek leader before commencement.
All content (text, visuals, logos) on www.seewithpahadis.in is our intellectual property and may not be reproduced without written consent.
10. Governing Law & Dispute Resolution
These Terms & Conditions shall be governed by and construed in accordance with the laws of India. Any disputes arising out of or in connection with the services provided by Seewithpahadis shall be subject to the exclusive jurisdiction of the courts in Rudraprayag / Ukhimath, Uttarakhand. We encourage amicable resolution through direct communication before initiating any legal proceedings.

11. Modifications to Terms
We reserve the right to update these terms periodically. The latest version will be published on our website with the effective date. Continued use of our services after modifications constitutes acceptance. For group bookings, separate corporate agreements may override certain clauses if signed by both parties.
